Our Agreement Under These Terms and Conditions

By requesting a proposal, confirming a booking, or using our website, you agree to these terms and conditions. They apply to every journey we design, from a single guided day to a multi-country itinerary spanning weeks.

A booking is confirmed only once we have issued written confirmation and received the applicable deposit or payment. Until then, itineraries and quotes remain subject to availability and change.

Bookings & Payment

• A non-refundable deposit is required to confirm most bookings; the amount is set out in your proposal.
• Full payment is typically due 60 days before departure, unless otherwise stated in your confirmation.
• Bookings made within 60 days of travel require payment in full at the time of confirmation.
• Prices are quoted in the currency shown and may vary with exchange rates, availability, or seasonal pricing until a deposit is paid.
• We accept payment by bank transfer or card; card payments may carry a processing fee.

Cancellations & Changes

If you cancel under these terms and conditions

Cancellation charges are calculated from the date we receive written notice, as a percentage of the total trip cost:

• 60+ days before departure — loss of deposit.
• 30–59 days before departure — 50% of total cost.
• 15–29 days before departure — 75% of total cost.
• Under 15 days before departure — 100% of total cost.

If we cancel

In the rare case we must cancel a confirmed journey for reasons within our control, you will receive a full refund or the option to rebook. This does not apply to cancellations caused by events beyond our control — see Force Majeure.

Changes to your itinerary

We are happy to accommodate changes where possible. Requests made close to departure may incur supplier fees, which we will always confirm with you before proceeding.

Travel Documents & Health

You are responsible for ensuring you hold a valid passport, any required visas, and meet the health or vaccination requirements of every destination on your itinerary. We are glad to advise, but final responsibility for documentation rests with you. Entry requirements can change with little notice — we recommend confirming details directly with the relevant embassy or consulate shortly before departure.

Traveller Responsibilities

By travelling with us under these terms and conditions, you agree to:

• Disclose any medical conditions, dietary needs, or accessibility requirements that may affect your journey.
• Behave in a manner that respects local laws, customs, and the safety of guides, staff, and fellow travellers.
• Arrive at agreed meeting points and departure times as set out in your itinerary.
• Carry appropriate travel insurance for the duration of your trip.

We reserve the right to end a traveller’s participation in an experience, without refund, if their conduct endangers themselves or others.

Third-Party Suppliers

Many elements of your journey — accommodation, transport, guiding, activities — are delivered by independent local partners. While we carefully select and vet every partner in our network, each operates under its own terms and conditions, which may apply alongside ours.

Liability

We take great care in designing and coordinating your journey, but we act as an agent for the third-party suppliers who deliver it. Except where caused by our negligence, we are not liable for loss, injury, or damage arising from the acts or omissions of independent suppliers, or from circumstances beyond our reasonable control.

Nothing in these terms and conditions limits liability that cannot be excluded under applicable law, including liability for death or personal injury caused by our negligence.

Travel Insurance

Comprehensive travel insurance, covering trip cancellation, medical emergencies, and evacuation, is required for all journeys booked with us. Proof of coverage may be requested before departure.

Force Majeure

We are not responsible for failure to perform our obligations where this is caused by events beyond our reasonable control — including natural disasters, extreme weather, civil unrest, government action, pandemic, or transport disruption. Where such events affect your journey, we will work with you in good faith on rebooking or crediting options, subject to supplier policies.

Intellectual Property

All content on our website and in our proposals — including itineraries, photography, and written material — is the property of AO Experiences or our licensors, and may not be reproduced or used commercially without our written permission.

Governing Law

These terms and conditions are governed by the laws of England and Wales. Any disputes arising from your booking will be subject to the exclusive jurisdiction of the courts of England and Wales.
